Offsite Purpose & Attendance


Why are we having an All-Hands Offsite?

As a remote-first team, we know that strong relationships fuel great collaboration. While we thrive in a virtual environment, there’s no substitute for time spent together in person. Our offsite is an opportunity to connect, recharge, and strengthen the bonds that make our work even better throughout the year.


Is the Offsite for work or fun? What should I expect?
Both! The Offsite is a mix of meaningful work and quality time together. We’ll have All Staff Meetings to align on key priorities, small-team and departmental sessions to collaborate on real business challenges, and plenty of structured and unstructured time to connect, recharge, and have fun as a team.
 

Is attendance mandatory?

The Offsite is a key moment for our team to connect, collaborate, and align on important priorities, so we encourage everyone to attend. That said, we understand that some circumstances may make travel difficult. If there’s anything we can do to help make your attendance possible, please reach out to Makini or talk to your supervisor.


What will happen if I miss the Offsite or can’t attend the full event?

If you’re unable to attend, recordings of the All Staff Meetings will be available so you can stay informed. While we’ll miss having you there in person, we’ll share key takeaways and updates to keep everyone aligned.

How will I book my travel?

Employees and guests will book flights through Egencia, which is managed by our planning partner, The Offsite Co.
Employees: Flight costs are covered by Eleven.
Guests: Travel expenses must be paid personally.

Booking links for USA Employees, Non-USA Employees, and Guests will be shared once the portal goes live.

 

When should I arrive?

The event starts on Tuesday, May 13th, in the morning, so please plan to arrive in time to be ready.

For those arriving on Monday, May 12th, there will be an evening gathering—stay tuned for details!
 

What airport will we fly into?

CancĂșn International Airport (CUN)

 

Will transportation be provided?

Yes! Transfers between the airport and the resort will be arranged.

If you need transportation to your departure airport (Uber, taxi, train, airport parking, etc.), you can submit a receipt for reimbursement.


Can I extend my stay?

Yes, but at your own cost. Any additional time off outside of travel time follows standard BTO (Balanced Time Off)/Annual Leave guidelines. Time off requests should have been submitted in BambooHR no later than Monday, March 17.

Will my extended stay costs be covered?

No, personal extensions are not covered by Eleven.


When must I submit my out-of-pocket expenses (like airport transfers and travel meals) for reimbursement?
All expenses must be submitted by Tuesday, May 27th. Expenses submitted after that date are subject to rejection.

 

Do I need a passport to travel to Mexico?

Yes! Your passport must be valid for the entirety of your trip.

However, it is recommended that your passport expiration date is valid for a minimum of 6 months after your travel dates to avoid any potential travel restrictions.  

 

Accommodations


Will we have single or shared rooms?

Eleven will cover single-accommodation rooms.
If you’d like to bring family or guests, you can upgrade to a larger room at your own expense:
    

    Employee + 1 guest: $432 USD per night
    Employee + 2 guests: $432 USD + $391 USD per night


For employees bringing more than 2 guests, additional details will be shared.

Can I bring a guest or plus one?
Yes! You are welcome to bring guests at your own cost. However, all offsite events are for employees only.

Will an itinerary be shared?

Yes! The itinerary is being finalized and will be shared in #all-hands-offsite-cancun-2025.

Will we leave the resort?
No official offsite activities are planned outside the resort. However, during your free time, you are welcome to explore CancĂșn.

 

Is there downtime?

Yes! Downtime is built into the schedule.


Should I bring my work laptop?

Yes—this is a work event, so bring your laptop.

 

Resort Information


What does all-inclusive mean?
All-inclusive means that:
    Meals
    Drinks
    Activities
    Accommodations

are all covered by Eleven for the core dates of the offsite.
 

Will all dietary requirements be accommodated?
Yes! The resort is family-friendly and inclusive, ensuring dietary needs are met. The Offsite Co. will share additional details.

 

What is the dress code?
Relaxed casual—think shorts, capris, t-shirts, summer dresses, etc.

 

General Travel Tips
 

Do I need a plug adapter?
Yes—Mexico uses:
Type A (two flat pins)
Type B (two flat pins + grounding pin)
127V supply voltage | 60Hz
 
U.S. and Canada devices will work fine, but bring an adapter just in case.
 

Will my debit/credit card work in CancĂșn?
Yes! But notify your bank that you are traveling to avoid transaction issues.


Are there COVID restrictions for traveling to Mexico?
No COVID-related entry restrictions, quarantine, or vaccination requirements exist at this time.
