Why are we having an offsite?

As a fully remote company, it is very important that we invest in spending time together in person. While we know we can be very effective remotely, the relationships we build at offsites help make our work and collaboration throughout the year even better.

 

Is the offsite for work or fun? What should I expect?

Both! We will spend about 4-6 hours per day focused on business and our work together and have plenty of structured and unstructured time to be together, play and get to know each other better.

 

Is attendance mandatory?

The offsite is an important moment for us as a team, so we’d love to see everyone who can attend. We understand that there may be circumstances that prevent you from traveling. If there is anything we can do to make it possible for you to come, don’t hesitate to reach out to HR, or talk to your manager.

 

What will happen if I miss the offsite? What if I can’t attend the full event?

We will do our best to share all the information (and swag!) with folks who can’t join. For those who will be joining us for only a portion of the offsite, your travel and lodging will still be paid for and handled by the company for the number of days you are able to come. Any information or swag you might miss will be shared.

 

Can I bring a partner / spouse / family member?

At this time, we are asking that you come on your own to be focused on spending time with colleagues. If you have a situation that requires you to travel with someone else, please reach out to HR to discuss.

 

Can I tack on PTO time before or after the offsite?

As long as you get your PTO approved by your manager, absolutely! If you would be coming or going to a place other than your home base, please let us know to ensure the proper arrangements are made.

How should I book my flight to Kenosha, WI? 

This year we are offering two options for flight bookings *see below for details.

Option 1 - Join a Scheduled Group Flight
The company will be offering 2 group flight options, one out of Dallas Fort Worth International Airport (DFW) and the other out of Austin–Bergstrom International Airport (AUS). (Flight details will be provided soon)
When you register, please check the box that specifies "Group Flight" - this means you will NOT book your flight, you will be assigned a flight, and no additional follow-ups are needed until The Offsite Co. travel coordinator contacts you.


Option 2 - Book Your Flight
If you will not be joining a group flight, please book your round-trip travel to and from Chicago O'Hare International Airport (ORD) on your own.

  • For your convenience, it is recommended that a company credit card be used for your flight purchase. 
  • Flights purchased on a personal card may be submitted for reimbursement through Expensify with the next monthly reimbursement.

What Items are eligible for reimbursement?

  • Flight cost up to $700
  • Checked baggage fees (limit 1 per employee)
  • Meals during travel days
  • Airport parking
  • Uber/Lyft rides to the airport
  • NOTE: Reimbursement reports must be submitted by the 5th of the month and will be paid out in the same month's paycheck

 

Can I arrive early or stay late?

As long as it does not create undo cost to Eduphoria, we are open to booking tickets that allow you to extend your trip. If you would like to do so, please contact Tianni Johnson from The Offsite Co. within 24 hours of completing your RSVP.

 

Will transportation be provided to and from the Chicago O'Hare International Airport? 

Shuttle service will be provided! Please check back for shuttle schedules

Will I get my own room?

Yes!

 

 

What will we be doing during the offsite?

The offsite will be a mix of working sessions (as a company and in smaller groups), fun activities, and down time to hang with colleagues. We will share an itinerary as soon as it is finalized.

 

I need time to attend to personal needs [i.e. medication, pumping, religious practice, etc]. Will I be able to step out of the meetings?

Absolutely. Feel free to reach out to HR if you want to talk through your individual needs.

 

Are the activities mandatory?

We are all adults! While we understand things will come up, we do expect everyone to participate fully in both the “work” and “fun” activities (though we think it will all be fun…). If there is a reason you cannot participate in an event, just let someone know and we will figure out how to best accommodate your needs.
